Most companies that want an AI agent need automation. An agent makes sense where free text has to be read and decisions made within clear limits, for example with customer emails. And sometimes the best move is to do nothing.
Below is the difference between an assistant, automation and an agent. Then two examples from practice with numbers, and one rule for when to start somewhere else.
What is the difference between an AI assistant, automation and an agent?
When an owner says "we want an AI agent", we ask what exactly it should do. Often it turns out they do not want something deciding for them. They want the boring work to get done on its own.
When a business owner says they want an agent, it does not always mean they want an agent. They need some piece of work to get simpler. Often ordinary software, a different automation or a changed process in the company is enough.

These are three different things:
Assistant. You chat with AI and carry the result over yourself. A person decides.
Automation. A process runs on its own, the same way every time. A person only approves the exceptions.
Agent. The system decides on its own what to do. You set the limits.
Assistant
Automation
Agent
Who decides
A person at every step
A rule, a person for exceptions
The agent, within limits
Example
A draft reply in an AI chat
An invoice from email into the books
A reply to a customer asking about an order
What you need before starting
Nothing but an account
A described process and a few examples
A described process, examples, rules and someone who takes the exceptions
Risk
A mistake stays in one text
A mistake repeats until someone stops it
The agent tells a customer something wrong in your name
The levels build on each other. An agent only works when automation stands underneath it. Without it, the agent has nothing to read from.
When is automation enough?
When the work happens often and always the same way. Typical examples are invoices, orders, or retyping data from one system into another.
Our own accounting sits exactly at this level. Invoices from email used to take 10 to 15 minutes each. Today one takes less than a minute. 70 % go through with no person at all, and it has been running for over two years. No agent.
The remaining 30 % go through a person on purpose. A scanned invoice, a new supplier or several VAT rates end up in front of someone who checks them. In accounting it is better to ask twice than to book wrong once.
Automation is enough if everything on this list is true. Tick what is true for you:
When does an AI agent make sense, and how do you introduce one?
When the input has no fixed shape and there is more than one possible answer. Most often that means customer emails. Everyone writes differently, asks about something else, and the right answer depends on the order.
For a client with online sales we introduced a customer support agent. Customers get a reply within 5 minutes. Customer support now handles only the complex cases.
Reply time to the customer. Customer support now handles only the complex cases.
When the saved hour has nowhere to go. It sounds odd, but it is the most common mistake in automation.
The owner of a freight forwarding company had the most pressing problem in the business in front of him: invoices retyped by hand. On paper, an obvious first win. He still put it second.
He was right. An hour saved on invoices dissolves into more admin. An hour saved in sales can turn into an order. So we started with the carrier search, because that time goes back into sales.
That is why we ask three questions before every project:
01
Will it make money?
A faster quote can turn into an order.
02
Will it save money?
Which money exactly, and who you stop paying.
03
Will it save time?
For whom, and what will that person use it for.
If you cannot answer even one, you do not need an agent or automation yet. Sometimes tidying up the spreadsheet is enough. How to tell when it is no longer enough is in When is Excel no longer enough for a business?.
The price is not set by the word "agent" but by scope, by how many systems it connects to, and by who will operate it. The breakdown is in How much does an AI agent cost for a business?.
The monthly subscription starts at €3,980 excl. VAT, and AI agents are part of it. Pause or cancel any time. Have a clearly bounded scope? Tell us what you need and we send you a fixed price. What the work costs you today, the automation ROI calculator works out in a minute.
When we don't recommend it
You only want to write texts, quotes or translations faster. An assistant is enough, meaning an AI chat subscription. You do not need us for that.
You can describe the procedure in one paragraph and the input always looks the same. You need no agent. Automation is enough, often inside a tool you already have.
You expect 100% accuracy without a person. No such agent exists. If nobody takes over the exceptions, do not start.
The process lives only in one person's head. Write it down first, with examples. Only then do automation or an agent make sense.
Not sure whether you need an agent?
Tell us which work you want off your plate. We get back to you within two business days, and together we pick what to fix first. We will also tell you if automation, or nothing, is enough.
What is the difference between an AI agent and automation?
Automation follows the same steps every time and a person only approves the exceptions. An AI agent decides on its own what to do, within limits you set. That is why an agent needs more preparation and more oversight.
Does my company need an AI agent?
Usually not right away. If the work repeats the same way, automation is enough. An agent makes sense when free text has to be read, such as customer emails, and one of several answers chosen.
Where should business automation start?
With work someone does by hand every day and can describe in one paragraph. Before you start, write down where the saved time will go. If you cannot say, you are starting in the wrong place.

Can an AI agent work entirely without a person?
For selected types of tasks, yes, but only after you have approved its drafts for a while. Cases it is unsure about should go to a person. Anyone who needs 100% accuracy without review should not start with an agent.

With us, an AI agent for a business is part of a subscription from €3,980 a month excl. VAT, or a fixed price. Scope, connections and operation set the price, not the model.
An AI agent for customer emails works when you introduce it in three steps: understand the mail, drafts with approval, and only then on its own. For a client with online sales: a reply within 5 minutes.
An AI agent is software that gets a goal and picks the next step itself, within the limits you set. How it differs from a chatbot and from automation, a real example with numbers, and when you do not need one.
