We created a time-saving automation. Invoices arriving in Gmail are processed and recorded in SuperFaktura. This workflow adds an AI extraction step. It removes manual data entry.
The system detects new invoice emails. AI extracts key fields from attachments. It creates the expense in SuperFaktura. No migration required. It is easy to adapt per vendor.
The challenge
Teams retype PDF data manually. We needed a solution for varied invoice layouts. GPT-4o Vision handled it well. Slovak specifics like ICO and DIC required explicit handling.
What went wrong along the way
The first version ignored multi-page PDFs. Vendor matching also caused duplicates. We fixed this by matching by ICO instead of name. Identifiers are more reliable than names.
